Who Staffing is looking for a Client Service Associate for a full-time, direct hire opportunity with our client in Hunt Valley, MD.
Job Summary:
Our client, an independent advisory firm in Hunt Valley, MD, is seeking a motivated and detail-oriented individual with a passion for helping others to join their growing team as a Client Service Associate. This position plays an important role in supporting their Advisors and creating exceptional customer experience for their clients as our client works to bring clarity and understanding to their clients’ financial lives. This individual will be responsible for assisting Advisors in client meetings, building financial plans, and implementing proposed strategies. This position will also process account opening and account maintenance. The Client Service Associate must be able to manage multiple tasks at a time while maintaining professional poise and courtesy to clients and internal stakeholders.
Essential Job Functions:
· Client operations, inquiries, requests, and communication
o New account opening
o Account maintenance (e.g. beneficiary change, name change)
o Cashiering requests
o Insurance and annuities
o Rollovers and new assets in
o Facilitate client asset movement out (client death, cancellation, termination)
o Custodial reconciliation and communication, including NIGO resolution
· Oversee and own Financial Planning Process:
o Enter client data into financial planning software programs and spreadsheets
o Generate financial analyses and financial plans for clients and coordinate with Advisor
o Develop a close, long-term relationship with clients, in conjunction with Advisor, to understand client’s current circumstances and future needs or wishes
o Aid in review preparation and presentation of financial strategies designed to help clients pursue their long-term goals
o Attend client meetings, as needed, in a technical, supporting, and learning role
o Mentor and teach team members related to financial planning agreement process and software
· Coordinate with Director of Investments for Client portfolio management
o Portfolio trading and assistance with sleeve maintenance and strategy changes
o Analyze approved investments and provide recommended adjustments/additions as necessary
o Portfolio structure
o Allocation of new client assets
o Coordinate portfolio rebalancing and monitor progress towards plan implementation
o Portfolio education to team
· Coordinate efforts between advisors, operations, and clients to ensure follow-ups are documented and implemented
o Collaborate with Advisors and Operations Department on all ongoing cases
o Participate in weekly workflow meetings with Advisor and other internal team members to assist in keeping Advisor focused
o Serve as liaison between Advisor and client related to their account
o Obtain hobbies and personal information from clients
o Develop a close, long-term relationship with clients to understand their current circumstances and future needs or wishes
· Become a subject matter expert on Client Experience software and become the point person to assist with creating access for new clients, demonstrations, and troubleshooting any issues that arise
· Coordinate and initiate Random Acts of Kindness as needed
· Professional Development and continued education achieved through designations such as the CFP, CFA, ChFC, etc.
· Attend all training for Operations team
· Identify, explore, and implement opportunities to streamline workflows
· Adhere to all company and industry supervisory guidelines and policies
Knowledge, Skills, and Abilities:
· Knowledge of Financial Advisor office tools (i.e. Orion, Salesforce, etc.) preferred
· Knowledge of Microsoft Office, including Word, Excel, and Outlook required
· Experience with Schwab and/or Fidelity is a plus
· Experience with financial planning software (e.g. YCharts, Holistiplan, eMoney) is a plus

Preferred Education and Experience:
· Bachelor’s degree in business administration, accounting, finance, or similar field preferred or commensurate career experience
· Experience working in a professional office environment preferred
· 2+ years of experience in the financial industry preferred
